Team Administrator – Surbiton – £20-£23k

My client are currently seeking a Graduate for their small Surbiton based team. The work is very varied and we need someone who is flexible, collaborative, adaptable plus very well organised. You need to show initiative, can think on your feet, have excellent attention to detail and be proactive. This is an office based role and requires someone with excellent IT and communication skills and fluent English language (both written and verbal).
This is a busy role with lots going on : great training will be given.

Responsibilities include but are not limited to:

  • Support all divisions of the business when required, including those detailed above
  • Filing, letter writing, answering phone calls; putting together proposals, itineraries
  • Sending out information to clients and suppliers
  • Liaising with suppliers and clients on the phone, via email or other media
  • Receiving (via email and telephone) and reviewing applications from candidates for client vacancies; recruiting staff
  • Telephone screening to identify suitability of candidates for client vacancies and passing them on to an Account Manager for review;
  • Sourcing products; Negotiating costs and discounts
  • Property management tasks and activities
  • Work in a team environment. Provide timely support and advice to the wider business teams as required to ensure the workforce is available;
  • Handling confidential and sensitive information
  • PPC & SEO management, marketing blog and article writing, general promotional activities, mixed media activities
  • Setting up diary entries and management of the calendar
  • Working on various tasks simultaneously
  • Researching on the internet
  • Trouble shooting and solution finding
  • Minute taking (shorthand not necessary)
  • In-putting data, on-boarding new CRM and systems as needed
  • Keeping a database up to date
  • General co-ordination of day to day tasks
  • Travelling occasionally as required

Skills required:

  • Excellent knowledge of Microsoft Office including Word, Excel, PowerPoint, Outlook and Internet
  • A good multi-tasker and administrator
  • Have common sense; ability to communicate and be adaptable
  • Excellent communication skills, both written and oral
  • Highly organised and able to juggle several tasks simultaneously
  • Excellent attention to detail
  • Friendly and professional manner; confident in working with people at all levels in a company, clients and suppliers alike
  • Ability to be discreet and act in a confidential manner
  • Fluent written and spoken English a necessity: other languages an advantage
  • Knowledge of CRM systems including Voyager Infinity, Clio and Xero an advantage. If not familiar, a willingness to learn and use CRM systems a must
  • Previous experience as an office administrator, PA or events coordinator would be advantageous
  • Willingness and high energy to undertake HomeMaker® activities
  • Well educated, degree an advantage, good personal presentation
  • Clean DBS check or willing to have one done

General working hours: Monday to Friday 9am to 6pm (flexibility required)
Holiday: 28 days paid annual holiday including bank holidays
